Licensing and activation

VirtuCath™ requires an active license key to unlock its full suite of simulation and digital prototyping tools. Without a valid license, the software runs in a restricted Unlicensed Mode, which disables your ability to build models, run simulations, save configurations, and export reports.

Getting Your License Key

When you purchase a VirtuCath license through the website, your unique license key is automatically emailed to you immediately after the transaction.

  • Check your inbox: The email is sent to the address associated with your purchase.
  • Can't find it? If you don't see the email within a few minutes, check your Spam or Junk folder. The email contains your alphanumeric license string and instructions for its use.

Activating Your Software

Activating your installation is quick and typically requires an active internet connection to validate against the VirtuCath license server:

  1. Launch the VirtuCath application.
  2. From the top Menu Bar, select Help > Activate License.
  3. Open your purchase confirmation email and copy the license key.
  4. Paste the key into the activation dialog and click Activate.

Once your key is validated, you are prompted to restart the application. On restart, VirtuCath unlocks all features and the Trial Mode or Unlicensed Mode restrictions are lifted.

Behind the scenes: the VirtuCath license server is operated by Cryptlex, a third-party licensing service. You don't need to know that to use VirtuCath — it's mentioned here so corporate IT can map the firewall allowlist entries (see the IT deployment guide).

The VirtuCath Customer Portal

Every customer gets a self-service portal at:

https://virtucath.customer.cryptlex.com

From the portal you can:

  • See your active licenses, plan, expiration date, and remaining activation seats.
  • Process offline activation and deactivation requests (see below).
  • Update your profile, email, and password.
  • Download release artifacts (when published).

Creating your account

There is no separate sign-up step. When your license is generated, VirtuCath automatically provisions a portal account for the email address you used at purchase — i.e., the same address that received your license-key email. We deliberately never email a password; you set your own on first visit using the Forgot password flow.

First-time access — three short steps:

  1. Open virtucath.customer.cryptlex.com.
  2. Click Forgot password? on the login page and enter the exact email address you used at purchase. You'll receive a password-set link.
  3. Pick any password you like, then log in.

Returning customer (second or later purchase): new licenses are automatically added to your existing portal account, so just log in with the password you already set — no need to reset it. You'll see all your licenses on one dashboard.

Want a different email for license management?

The portal account is provisioned against the email that paid for the license. That's fine for solo engineers, but it doesn't always fit teams — for example:

  • Finance buys, engineering manages. Your accounts-payable team made the purchase under [email protected], but you want license seats managed by an engineer at [email protected].
  • One purchaser, multiple license admins. A team lead bought a Team Starter Pack and wants two or three colleagues to be able to free up seats and run offline activations without going through them.
  • The purchasing email is a shared inbox. You want the day-to-day license owner to have their own login rather than sharing credentials.

In any of these cases, email [email protected] from the purchase email with:

  1. Your order ID (from the license-key email),
  2. The additional email address(es) you want attached to the license, and
  3. Whether the new user should be able to manage all licenses on the account (organization-admin role) or just see them (user role).

We'll attach the extra portal users on the Cryptlex side, and the new addresses can immediately go to virtucath.customer.cryptlex.com and use Forgot password? to set their own passwords. The original purchase-email account stays active either way, so you don't lose any access by adding more.

Common gotchas

  • Wrong email. The most common access problem is purchasing with one address (e.g. a personal Gmail at checkout) and trying to log in with another (e.g. your work email). The portal account lives at the purchase address — check which inbox received the license-key email; that's the one to use.
  • Capitalization. Email is treated case-insensitively, so [email protected] and [email protected] both work.
  • Email changed since purchase. If you've changed email addresses between purchases, your old and new licenses live in two separate portal accounts. Email [email protected] and we'll merge them.
  • No password-reset email arrived. Check spam; if it's still missing after a few minutes, the address you entered probably doesn't match the one on file — go back to the first gotcha. If you're certain the address is correct, contact support.
  • You can't find your license-key email. Don't worry — you don't need it to manage your account. Log in to virtucath.customer.cryptlex.com, open your license from the dashboard, and the full key is shown on the license detail page. You can copy it from there into the VirtuCath activation dialog. (If you can't even remember which email inbox the purchase email went to, search all inboxes for the subject "Your VirtuCath License Key" first — that tells you which email the portal account is on.)
  • The "Continue with SSO" button on the login page. Cryptlex's stock portal renders this button on every tenant, but VirtuCath only enables SAML SSO for Enterprise customers on request — see the IT deployment guide for how to scope it. If you're not an Enterprise customer with a configured SSO connection, ignore the button and log in with email + password.

Offline Activation and Corporate Firewalls

If your workstation is air-gapped or sitting behind a strict corporate firewall, online activation will fail. VirtuCath provides a portal-based offline activation flow that you drive yourself — no support ticket needed:

  1. In the VirtuCath activation dialog, click Activate Offline.
  2. Enter your license key and click Generate Offline Request to save a .req file. Copy it to a USB drive or any machine with internet access.
  3. On the internet-connected machine, open a browser and go to the VirtuCath Customer Portal at https://virtucath.customer.cryptlex.com. Log in with the exact email address you used at purchase (see Creating your account above if it's your first visit — click Forgot password? first to set a password against that email).
  4. Open the license you want to activate, then choose Activations > Offline Activate. Upload the .req file. The portal returns an Activation Response File (.dat). Download it.
  5. Bring the .dat file back to your VirtuCath workstation.
  6. In the same Offline Activation dialog, click Load Offline Response File and select the .dat. Your seat is now activated.

To release an offline seat (e.g. before moving to new hardware), click Generate Offline Deactivation Request in the same dialog to produce a .req, then upload it at the portal under Activations > Offline Deactivate for the same license. This frees the seat on the server and lets you reuse it on a different machine.

If you cannot reach the portal at all and the standard flow is blocked, email [email protected] and VirtuCath support will arrange an out-of-band exchange.

Managing Seats on a Team License

The Team Starter Pack (5 seats) and Enterprise (10+ floating seats) plans share one license key across multiple engineers. By default the portal account belongs to the person who paid, and only that account can see all activations, free up seats, or run offline activations from the portal — your colleagues can still use VirtuCath fine on their own machines using the shared license key, they just can't self-serve through the portal.

To let multiple people on your team manage the license:

  1. Decide who needs portal access (the team lead, a CAD-IT engineer, a shared [email protected] mailbox — whatever fits).
  2. Email [email protected] from the purchase email with your order ID and each additional email address. Note for each whether they should have full management rights (organization-admin role) or read-only view (user role).
  3. We attach the additional users to your license on the Cryptlex side. They go to virtucath.customer.cryptlex.com, click Forgot password? with their newly-attached address, set a password, and immediately see your team's licenses on their dashboard.

The original purchase-email account remains active throughout — adding portal users doesn't unseat anyone.

Useful things team admins can do from the portal:

  • See all 5 (or 10+) active activations by machine and engineer.
  • Revoke a specific activation (e.g. when someone leaves the team or you're rotating a seat to a new hire).
  • Generate offline activation responses for air-gapped workstations on your team.
  • Pull a CSV of activation history (within the platform's retention window).

Transferring Your License (Releasing a Seat)

Your license key is uniquely tied to your computer's hardware footprint. If you need to upgrade your PC or move the software to another machine:

  1. On your old computer, open VirtuCath and go to Help > License Info.
  2. Click the Release License button.
  3. Confirm the prompt. This severs the tie to your current hardware and instantly frees up the seat on VirtuCath's license server.
  4. You may now enter your license key on your new computer using the standard activation process.

If your old computer died unexpectedly and you cannot release the license from the app, log in to the VirtuCath Customer Portal, open the license, and revoke the activation for the dead machine from the Activations tab. If you can't access the portal either, email [email protected].

Reinstalling on the Same Machine

If you wipe Windows and reinstall VirtuCath on the same physical computer, you generally do not need to release the seat first. The license platform identifies machines by a hardware fingerprint (CPU, motherboard, network MAC, OS install ID) — when you reinstall on the same hardware, the fingerprint is usually identical and the existing activation is recognized. Enter your license key in the activation dialog and you're back in.

Edge cases where a reinstall consumes a second seat:

  • Windows regenerated its Machine GUID during reinstall (rare on consumer Windows, more common on OEM-imaged corporate machines).
  • You replaced a major hardware component as part of the reinstall (motherboard, primary NIC).
  • The reinstall went onto different storage (different SSD) and Windows treated it as a new machine.

If that happens, you'll see your seat count tick up by one in the customer portal. Just log into virtucath.customer.cryptlex.com, open the license, find the orphaned activation in the Activations tab (it'll be the one not matching your current Machine ID — visible in the VirtuCath activation dialog), and revoke it. The seat is immediately freed.

Managing Your Account

A few self-service actions live in the customer portal, and a few need a quick email to support:

  • See all your licenses, keys, expirations, and active machines: log in to virtucath.customer.cryptlex.com.
  • Change your portal password: in the portal, Profile > Change Password.
  • Update your billing details, card, or address: the FastSpring billing portal.
  • Change the email on your portal account (e.g. job change, name change): email [email protected] with both the old and new addresses, and we'll migrate the account. We require this to go through support so we can verify ownership before swapping the email.
  • Delete your portal account and associated personal data (GDPR / CCPA / privacy): email [email protected] with the subject line beginning [Privacy Request]. We will (a) delete or anonymize your customer record in our licensing platform, (b) flag your billing record with our payment processor for deletion subject to their retention requirements, and (c) remove your hashed email from our internal event archive. Note that deleting your account does not refund active subscriptions; cancel those first via the FastSpring billing portal if that's what you want.

License Suspended — What to Do

If you open VirtuCath and see "License Suspended" either on the splash or in Help > License Info, that almost always means a renewal payment failed — most often a card on file expired, was replaced, or hit a bank-side fraud check. The license is not deleted; it's paused, and is fully restored the moment the failed invoice is paid.

To restore access:

  1. Open the FastSpring billing portal and log in with the email you used at purchase.
  2. Find the overdue invoice under Subscriptions > <your VirtuCath plan>.
  3. Update your payment method if needed, then retry the charge.
  4. The Cryptlex license auto-unsuspends within a minute or two of the successful charge — restart VirtuCath and you're back in.

If you check the portal and don't see a failed invoice, or if the suspension came without any payment activity at all, email [email protected] with your license key and order ID. Suspensions outside the payment-failure path are rare (usually a manual action on our side related to a chargeback or EULA matter), and support has the full context to resolve.

Trial Mode and Unlicensed Mode

Every installation of VirtuCath includes a 15-day free trial with full access to all features — no license key is required during this period. The trial starts automatically on first launch (internet connection required once to seed it) and runs offline for the rest of the 15-day window.

If VirtuCath is launched after the trial has expired, or without a valid license key, it runs in a restricted Unlicensed Mode.

You can still open and browse the interface, load catheter files to inspect their configuration, and access the Materials Library and documentation.

To restore full functionality, go to Help > Activate License and enter your license key.
